What Facility Management Covers On A School Campus
Facility management on a school or university campus covers custodial services, washroom hygiene, building maintenance, grounds and snow clearing, waste and recycling, and the periodic work that only ever fits into the gaps in an academic calendar, the same coordinated model behind Learn about our Integrated Facility Management Services. On paper it looks like any other institutional building. In practice it is harder, for three reasons. The occupancy is denser than almost any other property type, concentrated into short and intense periods, and made up of people who are not careful with the building. The calendar has hard stops that cannot move, so work that misses the summer window waits a full year for the next one. And everybody on site is working around students, which puts screening, supervision and conduct on exactly the same level of importance as the cleaning itself.
A Standard Cleaning Contract
- One schedule applied all twelve months
- Periodic work squeezed into term time
- Screening handled at hire and not revisited
- Cover staff sent in without induction
A Campus Facility Program
- A calendar built around terms and breaks
- Periodic work planned into the summer window
- Screening on every person assigned to site
- Cover staff screened and inducted in advance
Every Person We Send Into A School Is Screened.
This is the part of a school contract with no equivalent in an office building, and it is the part most likely to go wrong quietly. Boards and institutions require criminal record and vulnerable sector checks for anyone working in a school, and the requirement itself is straightforward, and it sits alongside the same site-access standards covered under our Security & Access Control Services. The failure point is cover. A regular custodian is screened, inducted and known to the staff. Then that person is off sick in February, somebody arrives from an agency at short notice, and the check either was never completed or nobody on site can confirm that it was. We treat screening as a condition of assignment rather than a condition of hire, which means cover staff are screened and inducted on your site before they are ever needed, and we can produce documentation for every person who has worked in your building. Nobody wants to be having that conversation retroactively.

The Spaces We Service On A Campus
Twelve Space Types, Each With Its Own Traffic, Its Own Hazards And Its Own Cleaning Window.
The mix changes what the contract has to solve. An elementary school is washrooms, classrooms and a gym floor that takes a beating, cleaned in a narrow window after the buses leave. A secondary school adds shops, labs and food service. A college or university adds residences, which behave far more like multi-unit housing than like a school, along with a September move-in and an April move-out that are closer to hotel turnovers than to cleaning. A campus with community use in the evenings has no empty window at all. The staffing pattern and the periodic schedule are built around which of those you are actually running.
How We Plan A Year Around Your Academic Calendar
Summer Reset
The window when the heavy work happens. Floor stripping and refinishing, gym floor treatment, carpet extraction, high-level cleaning, deep washroom work and any disruptive maintenance, all planned to finish before staff return.
Term Start
Daily routines established, cover staff introduced, and the first weeks supervised closely, because September sets the standard everyone judges the rest of the year against.
Respiratory Season
Frequencies increase on high-touch surfaces and washrooms through the winter months, with outbreak response procedures agreed in advance rather than improvised in January.
Exams And Events
Cleaning and maintenance scheduled around assessment periods, performances, open houses and graduations, which is when the building is being judged by visitors.
Year-End Turnaround
Residences cleared and turned over, classrooms emptied for summer work, and the next summer program scoped and priced before the term ends.
Years in operation
Buildings serviced
Screened site staff
Insured & bonded
Why Schools And Campuses Work With Cleaning 365
In A School The Contract Is Judged By Parents, By Inspectors And By Fifteen Hundred Teenagers.
Screening On Every Assignment
Criminal record and vulnerable sector checks completed for regular and cover staff before they are assigned, with documentation available on request rather than promised.
A Calendar, Not A Schedule
Periodic work planned into breaks and the summer window, so it happens once a year instead of being deferred until it turns into capital work.
Cover That Is Already Inducted
Absence cover is briefed on your site, your access and your conduct expectations in advance, which matters more in a school than anywhere else we work.
Products Chosen For Occupied Buildings
Certified products used where they suit the task, with safety data sheets on file and WHMIS-trained staff, in a building full of people with asthma and sensitivities.
Custodians Who Report Problems
Daily presence becomes early warning on leaks, failed lighting, damaged fixtures and vandalism, logged as work orders rather than mentioned in passing to whoever is nearby.
One Campus Contract
Custodial, maintenance, grounds, snow and waste under a single point of contact, which is one phone call at six in the morning after a storm instead of four.

“The question I could never answer before was whether the person covering a sick day had been screened. Now I can answer it in about a minute, with the paperwork attached.”

“Our summer window is eight weeks and it used to slip every single year. Having the whole program scoped in April and finished before staff came back was the difference.”

School Facility Management, Answered
School and university facility management is the coordinated management of buildings, grounds, infrastructure, maintenance, cleaning, safety, and support services across educational facilities. It helps keep classrooms, laboratories, libraries, offices, cafeterias, athletic facilities, restrooms, dormitories, and common areas safe, clean, functional, and suitable for students, faculty, staff, and visitors. Facility management can include preventive maintenance, HVAC, plumbing, electrical systems, custodial services, waste management, grounds maintenance, safety inspections, and emergency repairs. For universities, facility management may also cover larger campuses with research facilities, student residences, sports complexes, and multiple buildings.
School facility management services can include building maintenance, HVAC maintenance, plumbing and electrical repairs, custodial and cleaning services, restroom sanitation, waste management, groundskeeping, landscaping, pest control, lighting, safety inspections, and preventive maintenance. Depending on the school's requirements, services may also include emergency maintenance, seasonal maintenance, parking-area upkeep, common-area cleaning, and support for school events. A comprehensive school facility management program coordinates these services to reduce disruptions and maintain a safe learning environment.
University facility management services cover the operation, maintenance, and support of buildings and campus infrastructure. These services may include classroom and lecture-hall maintenance, laboratory and research facility support, HVAC, plumbing, electrical systems, custodial services, waste management, grounds and landscaping, athletic facility maintenance, residence and dormitory services, parking areas, common spaces, and preventive maintenance. Large universities may also require facility support across multiple buildings and campuses, making centralized scheduling, inspections, work-order management, and emergency response particularly important.
Facility management supports campus safety by maintaining building systems, identifying potential hazards, keeping common areas sanitary, and ensuring critical infrastructure operates properly. This can include inspections and maintenance of electrical systems, HVAC equipment, plumbing, lighting, fire safety equipment, entrances, walkways, and other building components. Regular cleaning and waste removal also help maintain hygienic environments. Facility teams can document maintenance issues, prioritize urgent repairs, and coordinate corrective work to reduce avoidable safety and operational risks.
Preventive maintenance involves regularly inspecting, servicing, and maintaining equipment and building systems before they fail or create major operational problems. In schools and universities, this may include scheduled HVAC servicing, plumbing inspections, electrical checks, lighting maintenance, roof inspections, equipment servicing, and seasonal grounds maintenance. Preventive maintenance helps identify developing problems earlier, supports reliable building operations, and can reduce unexpected interruptions to classes, research, administration, and campus activities.
Campus facility management helps create clean, comfortable, accessible, and functional spaces for learning, teaching, research, administration, recreation, and student activities. Reliable HVAC, lighting, plumbing, cleaning, waste management, grounds maintenance, and building repairs allow students and staff to use campus facilities without unnecessary operational disruptions. Facility teams can also coordinate maintenance around class schedules, examinations, events, and occupancy patterns to minimize interference with normal educational activities.
School facility management and university facility management share many core responsibilities, including maintenance, cleaning, safety, HVAC, plumbing, electrical systems, groundskeeping, and preventive maintenance. The main difference is usually the scale and complexity of the facilities being managed. Schools may primarily manage classrooms, administrative areas, cafeterias, gyms, playgrounds, and outdoor areas, while universities may manage large campuses containing laboratories, research facilities, libraries, residence halls, athletic complexes, medical facilities, parking structures, and multiple academic buildings. Facility management services can therefore be customized according to the size, facilities, and operational requirements of each institution.
Outsourcing facility management can give educational institutions access to specialized cleaning, maintenance, and building-support teams without having to manage every service internally. An outsourced provider can coordinate scheduled maintenance, custodial services, repairs, grounds maintenance, and other facility requirements according to the institution's operating schedule. This can also provide greater flexibility during seasonal changes, renovations, high-occupancy periods, or special events. Before outsourcing, schools and universities should define the required services, service standards, response times, reporting requirements, and areas covered by the facility management agreement.
